The database contains nine fields. Each of the eight text fields on nine lines has a two-letter code:
AU = AUTHORS (including editors, translators, illustrators, contributors, etc) of books, articles, etc.; line 1 The following are indexed: all surnames, even where the ‘name’ is an initial all first names and first initials some second names
TI = TITLES of books, articles etc.; lines 2 & 3 Everything is automatically indexed, with the exception of stop-words
PJ = PUBLISHERS of books; JOURNALS; line 4 All journals are indexed All items published by the Hogarth Press are indexed All publishers of books by Virginia Woolf are indexed
PP = VOLUMES of journals; page references of books and journals; line 5, left-hand side No entries are indexed
DA = DATES of journals; books; line 5, centre Years (eg, 1993) are indexed
LO = LOCATION of obtained items; line 5, right-hand side All data are indexed, but it is generally of no practical use, except for Kp+ and H (see Abbreviations for explanations). Where an item has been obtained, the record is more likely to be accurate than if it has not.
NB = NOTES; lines 6, 7 & 8 Many are indexed: 1. References to authors (eg, where the index card is a review of a book, the surname of the writer of the review appears in the AU field, and the writer of the book is often given in this field) 2. References to people, some of whom may have a code (eg, EMF = E. M. Forster) 3. References to books by EMF & Virginia Woolf (eg, TTL = ‘To the Lighthouse’) 4. RF = REFERENCE (date-stamp for new records or for editing existing records); line 9 All are indexed. The majority have the dummy date of 1900.1.1. The date-stamp is updated when: 1. A new record is created 2. An item is obtained 3. An old record is heavily revised See Tip for using this field.
Images Field
The tenth field is the Images field which cannot be indexed. In order to search for all the records with image fields, Search, Select, Data, Select, Field=Images / Search for: *
